Who we are

SiteNotePro is currently operated by its founders from Ireland. We are in the process of incorporating SiteNotePro as a company; once that is complete, this section will be updated with our registered company name, number and registered office. In the meantime, you can contact us at info@sitenotepro.ie.

The service

SiteNotePro is site inspection and project record software for construction and engineering practices, currently in early access. Features, availability and pricing may change before and during general release. Early access is offered to a limited number of firms and may be withdrawn or changed.

Early access and accounts

Joining the waitlist does not create a binding contract to provide the product. If you are given access to the product, separate terms will apply to that use. You are responsible for keeping any account details secure and for activity under your account.

The 30-day guarantee

Where this website says SiteNotePro comes with a 30-day money-back guarantee, this is what that means.

The 30 days run from the day we give your firm access to the product, not from the day you pay. If you tell us within those 30 days that SiteNotePro is not working for your team, we refund what you paid, in full, and we help you export your records before your access ends. You do not have to give a reason.

A Founding Firm place is covered by the same guarantee. The founding plan is paid twelve months upfront when a place is confirmed, and the 30 days start when your firm gets access, so a refund inside that window returns the full twelve months.

Anything beyond the guarantee itself, including what happens after the 30 days, is covered by the terms of sale we provide before any payment is taken. This section describes the guarantee we advertise here; it does not replace those terms.

Acceptable use

You agree not to:

• use the site unlawfully or in a way that infringes anyone's rights;
• attempt to disrupt, probe or gain unauthorised access to the site or its underlying systems; or
• copy, scrape or resell the site's content without our permission.

Professional responsibility and AI-assisted content

SiteNotePro is a tool that helps organise inspection information and supports compliance record keeping. It does not certify compliance, replace professional judgement, or carry professional responsibility for any inspection, report or decision.

Any AI-assisted output is clearly marked as such and must be reviewed by a competent professional before it is relied on or issued. The professional user remains responsible for review, sign-off and issue.

Nothing on this website, including any blog content, examples or illustrations, should be treated as professional, engineering or legal advice for a specific project.

Your content

Where you upload documents or records to the product, they remain yours. We do not claim ownership of your content and we do not use it to train AI models. Use of your content within the product is governed by the separate product terms provided when you are granted access.

Getting your records out, and how long we keep them

Getting them out. You can export any inspection record as a PDF, at any time, for as long as your account is open. A single export of an entire Master Project File is being built and is not available yet. Until it is, ask us and we will put your records together for you. You have that right in any case under data protection law, and it is set out in our Privacy Policy.

There are two different clocks for deletion, and it is worth being clear which is which.

Deleting one record inside a live account. When you delete an inspection, a photo or a file, it stays recoverable for 30 days so a mistake can be undone. After that it is permanently removed and we cannot get it back.

Closing the account. We keep your project data for 90 days after cancellation, so you can change your mind or come back for something you meant to export. After 90 days it is permanently deleted. Ask us and we will delete it sooner.

Export what you want to keep before you cancel. We will help if you ask, but do not rely on the 90 days: it is a safety net, not a filing system.

The templates and tools you download

The checklists, worksheets and templates on this site are yours to use. You may use them on live projects, adapt them to the way your firm works, and include them in a project file you hand to a client, a certifier or a local authority. You do not need to credit us.

Two things you may not do: sell them, and republish them as your own, whether on a website, in a training course or inside another product. They remain our copyright.

They are a practising engineer’s view of what good practice looks like, not legal or engineering advice for your project. Your certifier, your design, and the conditions attached to your permission decide what is actually required. Check anything you intend to rely on.

The Site Records Scorecard

The Scorecard gives you a score out of 48 and places you in one of four bands. It scores the answers you gave and nothing else. We do not see your records, your projects or your systems, and we do not check what you tell us.

It is not an audit, not a certification, and not an assessment of whether you comply with the Building Control Regulations or any other requirement. A high score is not a defence and a low one is not a finding. It is a prompt to look at your own process, which is what it was built to be.

Intellectual property

The SiteNotePro name, logo, site design and content are owned by us, or by our licensors, and protected by copyright, trade mark and other laws. You may not use them without our permission, except as needed to use the site normally.

Availability and liability

The website is provided on an "as is" and "as available" basis. We do not guarantee that it will be uninterrupted, secure or error-free.

To the extent permitted by law, we exclude liability for any loss arising from your use of, or inability to use, the website. Nothing in these terms excludes or limits liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot lawfully be excluded or limited.

Age and authority

You must be at least 18 to use this site. If you are using it on behalf of a firm, you confirm that you have the authority to agree to these terms on its behalf.

Third-party links

The site may link to third-party websites, for example social media. We are not responsible for the content or privacy practices of those sites.

General

If any part of these terms is found to be unenforceable, the rest will continue to apply. These terms, together with any separate terms provided to early access users, form the whole agreement between us in relation to the website.

Governing law

These terms are governed by the laws of Ireland, and the Irish courts have jurisdiction over any dispute.

Changes

We may update these terms as the product develops. The date at the top shows when they were last changed. Continued use of the site means you accept the current terms.
